Terms of Service
These Terms of Service (“Terms”) govern your use of the LightFrame studio rental service and website (“Service”). By booking time, entering the studio, or using our website, you agree to these Terms.
1. Bookings
Bookings are billed hourly unless a package rate is explicitly offered at checkout. Setup, styling, and breakdown are part of the reserved time. Your rental begins and ends at the scheduled times, not at first entry/last exit.
- Arrive early only if you have reserved time that covers it.
- If you need additional time, request an extension as soon as possible; approval depends on availability.
- Equipment use is limited to what is included in your booking confirmation; add-ons must be approved.
2. Holds and confirmations
We may offer “soft holds” for scheduling convenience. A soft hold does not guarantee access until confirmed and, where required, paid. Soft holds may expire automatically and can be released without notice if not confirmed.
- A booking is confirmed when you receive written confirmation (email) and any required deposit/payment clears.
- We may request a valid name, phone number, and email for all bookings. Some bookings may require ID verification.
3. Changes and cancellations
Change requests must be submitted in writing (email). We will do our best to accommodate changes, subject to availability.
- Changes/cancellations made 48+ hours before the scheduled start time are generally free of cancellation fees.
- Inside 48 hours, partial fees may apply to cover reserved time and staffing.
- No-shows may be charged up to the full booking amount.
- If you arrive late, the booking still ends at the scheduled end time; time is not shifted.
4. Studio access, conduct, and acceptable use
You agree to treat the studio, building, and neighbors respectfully. You are responsible for your crew, clients, guests, and vendors.
- No unsafe activity, illegal activity, or violation of building rules.
- Do not block hallways, exits, or shared spaces; keep noise to a reasonable level.
- Only the booked number of people may attend unless approved in advance.
- No open flames, pyrotechnics, fog/haze, glitter, confetti, or other high-mess items without written approval.
- Pets/animals are only permitted with prior written approval (service animals as required by law).
We reserve the right to end a session and require you to leave for unsafe behavior, refusal to follow staff instructions, or serious policy violations. In such cases, fees may still apply.
5. Fees, overtime, cleaning, and damage
Additional fees may apply in the following situations:
- Overtime: if you remain past your scheduled end time, overtime may be billed in increments (e.g., 15 or 30 minutes), subject to availability and staff approval.
- Special cleaning: if extra cleaning is required beyond normal turnover (e.g., spills, excessive trash, moving furniture without returning it).
- Damage/loss: you are responsible for damage to the studio, building areas you use, and equipment, including replacement costs and downtime where applicable.
- Unauthorized use: fees may apply for use of restricted equipment or areas without approval.
6. Health, safety, and equipment
You must operate equipment responsibly. If you are unsure how to use any lighting, stands, modifiers, power distribution, or other gear, ask for guidance before use. Do not overload circuits. Keep liquids away from electrical equipment.
Any incidents, injuries, or near-misses must be reported promptly to studio staff.
7. Intellectual property and content
You retain ownership of your creative content. By using the Service, you grant us permission to use your business name and non-confidential booking details for administrative purposes. If we request to share behind-the-scenes images for marketing, we will seek permission separately.
8. Liability and assumption of risk
Use of the studio involves inherent risks (e.g., cables, stands, heavy equipment). You assume responsibility for your own safety and for your crew/guests. To the fullest extent permitted by law:
- We are not liable for indirect, incidental, special, consequential, or punitive damages.
- We are not responsible for loss, theft, or damage to your personal property or equipment.
- Your maximum remedy for a verified claim is limited to amounts paid for the affected booking period.
9. Payment disputes and chargebacks
If you believe a charge is incorrect, contact us before initiating a chargeback so we can review and resolve the issue. Chargebacks may result in booking restrictions until resolved.
10. Changes to these Terms
We may update these Terms from time to time. The version posted on this page applies at the time of your booking and studio use. If updates are material, we may provide additional notice.
